How a call goes

It answers. It works out what they need. It does one of three things.

That is the whole system. Every call ends in a message on your phone, a time on your calendar, or a text with the caller's name and number — never in nothing — and a caller who rings off without saying anything gets a text back asking when to call them.

  1. Answers

    Two rings. It says what it is, asks whether recording is okay, and asks how it can help — in the caller's language.

  2. Works out what they need

    Urgent or routine, a booking or a question, using your hours, your services and your own rules for what matters.

  3. Does one of three things

    Takes a message. Books a time your calendar has actually accepted. Texts you the name, number and request before they've hung up.

If they hang up without leaving a message, it texts them back and asks when to call.

  1. Answers every call after hours

    Two rings, in a natural voice, and it opens by saying what it is: an AI, on a recorded line. Florida asks all parties, so it asks (what that means in Florida).

  4. Takes the message properly

    Name, number, what they need and how soon. Texted to your phone and kept in your console with the recording, so nothing is lost and nothing is guessed.

    An emergency — water coming in, a flood, no heat, storm damage — goes in a set order. Anyone in danger is told to call 911. It gives the safety step you wrote down, as you wrote it, then takes the name, callback number and address and reads them back. Your text arrives marked URGENT, and the caller is given a callback time only once the message is saved.

  5. Texts back the ones who hang up

    A caller who rings off without saying anything is still a customer. Within half an hour they get a text naming your shop, asking for a good time and a number to call. A voicemail box cannot do this; it is why a hang-up stops being a dead end.

  6. Never invents a time

    If it can't confirm an appointment, it says so and takes a callback instead of promising something the shop didn't agree to. It books only into a calendar it can see: Google Calendar, Square Appointments, or the calendar that comes with it if you use neither.
